FamilyVault by CAIBots · The Institutional Memory Platform for Family Offices

Institutional Memory,
Preserved for Generations.

FamilyVault transforms decades of family office knowledge, decisions, relationships, and governance into a private intelligence platform that remains accessible, governed, and usable for generations to come.

100% In-House Sovereign Deployment Private by Design Built to Last Generations

The Problem · Institutional Memory Risk™

Critical knowledge lives in people's heads, emails,
documents, and conversations.

When key individuals leave, retire, or pass away — the context disappears with them. Family offices spend decades building institutional knowledge. Most of it is never systematically preserved.

🚪
Key People Leave
CIOs, COOs, advisors carry critical context with them
🗂️
Information Fragmented
Knowledge scattered across email, drives, and systems
Decisions Lack Rationale
Why was this done? No one can answer with confidence
History Hard to Find
Years of meeting notes, memos, and records are buried
👨‍👩‍👧
Generational Disconnect
Next generation enters without institutional context
🔄
Mistakes Repeat
Same errors made because prior experience is lost

The Cost · When Institutional Memory Disappears

These moments happen at every
family office. The cost is rarely measured.

Institutional memory loss is not a single catastrophic event. It is a slow erosion — one departure, one transition, one passing at a time. Each one carries away decades of context that can never be fully reconstructed.

When a CIO Retires
Investment rationale disappears with them.
Twenty years of manager relationships, due diligence notes, thesis evolution, and investment committee reasoning — accumulated in their head and their inbox — walks out the door on their last day.
What gets lost
Why certain managers were selected or rejected. The full context behind every major allocation decision. Competitor analysis that informed the current portfolio construction.
When a Trustee Transitions
Governance history becomes fragmented.
Trustee intent, informal interpretations, undocumented distribution decisions, and the reasoning behind trust amendments are not in the trust document. They were in the trustee's memory — and that memory is now gone.
What gets lost
Interpretation precedents for ambiguous trust provisions. Informal agreements with beneficiaries. The rationale behind discretionary decisions that shaped the trust's history.
When an Advisor Leaves
Years of relationship context disappear.
The family's attorney, CPA, or wealth advisor carries institutional knowledge that is never written down — the family's communication style, sensitivities, historical decisions, and the full context of every engagement they managed.
What gets lost
Tax positions and strategies developed over decades. Legal reasoning behind structures that no longer have obvious rationale. Relationship dynamics with counterparties and co-investors.
When a Family Member Passes
Family intent can be lost forever.
The founding generation's values, the reasoning behind the family's philanthropic mission, the principles that guided investment philosophy, and the stories that make the family's wealth meaningful — these are not in any document.
What gets lost
The why behind the family's wealth. The values that should guide future generations. The intent behind governance structures that future trustees will interpret without context.
🏛️
FamilyVault preserves not only information — but the reasoning behind it. Every decision, every rationale, every conversation, every relationship captured and made permanently accessible — so that the knowledge that took decades to build cannot be lost in a single transition.
Protect Your Memory ↗

Introducing · Institutional Memory Risk™

The risk most family offices
never measure — until it's too late.

Most family offices carefully measure market risk, liquidity risk, operational risk, and cybersecurity risk. Very few measure Institutional Memory Risk — the risk that critical knowledge becomes fragmented, inaccessible, or dependent on individuals who may not always be there.

CAIBots Definition
Institutional Memory Risk™ is the measurable vulnerability of a family office to knowledge loss, decision opacity, and governance discontinuity when key individuals, relationships, or systems change.
1
Repeated Mistakes
Without access to prior decision rationale, the same costly errors occur across generations and leadership transitions.
2
Delayed Decisions
Days of research to answer questions that should take seconds. Every slow decision has an opportunity cost.
3
Governance Confusion
Unclear authority, missing charter context, and undocumented trustee intent create legal and operational exposure.
4
Advisor Dependency
When institutional knowledge lives only with external advisors, the family becomes dependent on their continuity.
5
Generational Disconnect
The next generation inherits wealth but not wisdom. Values, investment philosophy, and family intent fail to transfer.

The Solution · FamilyVault

Frequently Asked Questions

Questions principals and CIOs
ask before every engagement.

How do we verify our data never leaves our network?+
FamilyVault is architecturally incapable of sending data externally. There are no external API calls — no OpenAI, no Azure, no cloud inference of any kind. Every model runs locally on your hardware. We provide a full network architecture diagram for your IT or security team to verify, and our annual third-party penetration testing specifically confirms zero data egress. Documentation is available to family counsel and external auditors upon request.
What happens to our institutional memory if CAIBots ceases to operate?+
Because FamilyVault runs entirely on your hardware, your institutional memory is yours regardless of CAIBots' status. The platform uses open-weight models (Llama, Qwen), open-source vector databases (Qdrant), and open-source graph databases (Neo4j). In any business continuity scenario, your documents, embeddings, knowledge graph, and all indexed data remain fully accessible on your hardware without CAIBots involvement. We also provide system administration escrow documentation as part of Engagement 4 deployments.
How long does a FamilyVault deployment take?+
The Intelligence Assessment takes 3 weeks. A Foundation deployment typically goes live within 30–60 days of the Assessment. Intelligence Platform deployments take 60–120 days. Full Private AI Operating System deployments are 6–12 months. All timelines are confirmed in the Deployment Roadmap produced during the Assessment and depend on document access and a designated internal contact.
What internal staff is required to operate FamilyVault?+
Foundation deployments require no dedicated technical staff — CAIBots manages the system under the stewardship program. Intelligence Platform deployments benefit from a designated internal coordinator (1–2 hours per week). Private AI OS engagements typically have a senior operations or technology contact (5–10 hours per week) working directly with a dedicated CAIBots engineer. No AI or data science expertise is required internally.
Does FamilyVault require replacing existing technology?+
No. FamilyVault is designed to ingest from and integrate with your existing document management, email, CRM, and communication systems. Common integrations include SharePoint, iManage, DocuSign, Outlook, and Salesforce Financial Services Cloud. FamilyVault adds the knowledge and governance intelligence layer on top of your existing technology — it does not replace it.
How is FamilyVault priced?+
FamilyVault deployments are tailored to each family's governance structure, operational complexity, and sovereignty requirements. We do not publish standard implementation pricing because a $250M single-family office and a $10B multi-generational family are not buying the same thing — and pricing them identically would not serve either well. The Intelligence Assessment ($12,500–$25,000) produces a custom investment model specific to your situation. The Assessment fee is 100% credited toward implementation.
